Here’s an overview of the documents and information we need from you to begin working with our trucking company dispatch:

  1. Current Insurance Certificate: We require an active insurance certificate that reflects industry-standard coverage, including $1,000,000 in auto liability insurance and $100,000 in cargo liability insurance.
  2. Completed IRS Form W-9: Please provide a completed IRS Form W-9, which is necessary for tax reporting purposes.
  3. MC Authority Acceptance Document: We need documentation showing that your company has been granted MC authority (Number) by the Federal Motor Carrier Safety Administration (FMCSA).
  4. Dispatcher-Carrier Agreement: This is a non-binding agreement outlining the terms of our dispatching services. It is not a term contract, meaning you are not obligated to continue using our services for any specific period.
  5. Dispatch Authorization Form: This form authorizes us to act on your behalf in booking loads, filling out brokers/customer carrier setup packets, signing load confirmations, and contacting your insurance company for every load. It’s essentially a power of attorney for dispatch-related tasks. Once you provide these documents and information, one of our representatives will email you our standard Dispatcher-Carrier Agreement form for your review and signature.   1. Load Search: Our experienced Truck Dispatchers leverage their industry expertise and network of contacts to search for the best available loads that meet your criteria. This includes considering factors such as lane preferences, rate expectations, weight restrictions, type of freight, and any specific pickup / drop requirements.
  2. Load Presentation: Once suitable load options have been identified, our Truck Dispatchers will present you with detailed information about each load. This includes discussing the lane, rate, weight, type of freight being carried, and whether it involves single or multiple pickups / drops. We provide all pertinent load information to help you make an informed decision.
  3. Open Communication: We encourage open communication throughout the load presentation process. If you have any questions, concerns, or specific preferences regarding the available loads, our Truck Dispatchers are available to address them promptly and provide clarification as needed.
  4. Flexible Negotiation: If you decline a load for any reason, our team will continue searching for alternative options until you are satisfied. We understand that the negotiation process can be time-sensitive, and we work diligently to find suitable loads within your parameters.

Immediately after booking a load, all relevant parties, including the carrier, driver, broker, and shipper, will receive an original rate confirmation email. This email contains detailed information about the load, including the agreed-upon rate, pickup and delivery locations, shipment details, and any special instructions or requirements.
